Creating a labeling system

Okay, I remember a while back there was a discussion about labeling plants and somebody on here mentioned that they keep a spreadsheet on their computer with all the details about their plants and have a labeling system consisting of a unique ID for reference to the spreadsheet. This was a few months ago.
Lsoares, I really want to say it was you talking about it.
Anyway, I am looking to do the same thing. Just wanted to pick everybody's brain about how you keep notes/records of your plants, Specifically, I am interested in a specific statement from the thread I mentioned earlier about the unique ID system someone had come up with. Seems like it consisted of a short version of a year the seed was sown, as well as another number.
What do you all do with your plants?

I have been considering starting a physical plant journal, mainly just for dates and other info I always forget.
But it would be cool to practice botany sketches n stuff to have all my plants listed with pictures.

This thread makes me want to get on it even more, or at the very least start some file on my computer.

Ah, pictures. Hadn't even thought of that! That's a good point. Definitely something I would like to do myself. I could somehow link pics to spreadsheet ID so I can track growth visually with the spreadsheet.

I keep a physical log and been toying with the idea of doing botany sketches to go with it... Though I should probably rewrite everything in there so its more in order and understandable right now it's just a jumbly mess.. I've also been trying to figure out a labeling system for outside probably just use my initials and numbers..

That is a good idea indeed I would have to do weekly photo updates so I could make it into an epic gif or something...

Well, you seem to have it all sorted out. 
No big deal, really: all the pots I sow receive a unique number starting with the year and followed by a 3 digit sequential number (I don't plan on sowing more than 1,000 species/population in any given year...). The details about the seed are registered in columns on the spreadsheet, etc. The number assigned in this way will be with the plants forever (a long as they stay in my possession).

So does your system keep track of individual species or individual plants? I started something using your post as a template, but wanted to keep an ID on individual plants. Mine consists of a two digit year, followed by a three digit species ID, then a dash, and finally a two digit individual plant ID. Like this 15100-01.
I'd like to keep tabs on individual plants rather than entire species just so I can track a cacti's graft date, and everything else that might differ from others of the same species.

I understand. I have another spreadsheet with a simple sequential numbering system that I use to label the plants that I have acquired already grown. These are "individual" plants and numbers, whereas the others are "batch" numbers. If I need to address a certain plant as an individual instead of being part of a batch, I simply transfer it from one database to another and record the origin as batch "XXYYY".

I keep track of mine in a simple csv file
plant identifier #, species name, field no, locale info, from seed or cutting etc (or when I sowed), seed/plant source, extra notes
My plant numbers are a 9 digit code so each plant has its own number. xxx.xxx.xxx (genus.species.plant#)
Much of that info is then used to name my pic files, so it all tallies up and is easily sorted through (plant identifier #, species name, locale, and then a date as yyyy-mm-dd so it sorts sensibly)
If I ever get around to it, I will build a template for my label maker so it can just pull the info from the csv file to generate labels for me with a few clicks.

Nice. I just name them randomly and hope to remember lineage and what not. Your method sounds more organized.

What are you guys using for plant tags these days? I've been using sharpie marker on strips of plastic cut from sour cream containers and stuff, but am finding that after a number of months to a year, the marker fades/gets washed away. I trying to think of an idea of something that won't fade. I would have thought that a permanent sharpie marker would have done the trick, but apparently not...

I'll have to try pencil until I get another job and can afford stuff again. I would have thought pencil would have faded faster.

I write directly on the pot with sharpie or i use a sticky label with pen.

Well, none of my labels are in full sun. So ive noticed no fading. And all my pen tags are inside under cfls. Im sure weather wouod fade it.

Cheap at auction And replacement tapes are cheap the same way too. No fading or yellowing issues so far, and satisfies OCD tendencies
